Booking Information

Reservations include: Guest lodging, assigned group meeting place, meal service, use of outdoor facilities and recreational equipment. The Big Bear Lake Conference Center can accommodate groups of up to 190 people. The Rancho La Scherpa Conference Center can accommodate groups up to 120 people. (Groups exceeding 120 may be accommodated by special arrangement).

     • Children age 3 and under are free.
     • Reservations at Big Bear may be made for groups of 20 (minimum) or more people. Reservations at Rancho La Scherpa
       may be made for groups of 10 (minimum) or more.
     • Both sites may be shared with other groups, unless booked exclusively. Exclusive use of Big Bear can be booked for groups
       of 120 full price participants, and exclusive use of Rancho La Scherpa can be booked for 80 full price participants. (Day use
       and free children are not considered full price participants).
     • Rates for the Big Bear Conference Center do not include the 8 % bed tax for the City of Big Bear Lake on lodging charges
       only. Rancho La Scherpa does not have a bed tax charge.
     • Guests that join your retreat for the day only, are charged a $10 day use fee, plus meals, at the rates listed below. Please notify
        the office if this occurs.
     • Meals can be added or deleted from packages, as follows: Breakfast - $7.25, Lunch - $8.50, Dinner - $9.75. Requests for
        special meal plans may be accommodated at an additional price, (ie prime rib etc.). Generally 2 meals are required for each
        night’s stay.
     • Beverages and/or snacks are not included in the rates, but may be added to your event at: $1 per person for beverages and
        $2 per person for snacks, served to the group as a whole at a specific time. Please request beverages or snacks prior to your
        arrival.
     • Both sites have a high & low ropes course. Programs can be custom designed for your event, at the rate of $50 per hour per
        facilitator. Guest groups may also provide pre-approved facilitators.
     • Lifeguards are required for the swim beach at Big Bear, or pool use at Rancho La Scherpa, at $25 per hour per lifeguard.
       The required ratio is 1 lifeguard per 25 swimmers. Canoes and Kayaks at Big Bear require 2 lifeguards. (Generally, water
       activities are available at both sites from Memorial Day weekend through Labor Day weekend).
     • Firewood is available for $30 per load, which is meant to last for 2 evenings. Big Bear has two large fireplaces in the meeting
        rooms and Rancho La Scherpa has 7 fireplaces and an outdoor fire pit for your enjoyment.
     • Rancho La Scherpa provides paintball activities from $5 - $25 per participant, and several Geo Caching courses available at
       $15 per unit for a 2 hour session. All equipment for each activity is provided.
     • Extra meetings rooms may be rented-if available upon arrival - at a cost of $150 per day, or $300 per weekend, depending
       on availability. Exclusive use includes all meeting rooms.
